How to Review and Investigate Monthly Miles in McLeod

Purpose:
This guide walks you through verifying and investigating Monthly Miles in LoadMaster, helping ensure drivers receive proper mileage credit for completed trips.

Step-by-Step Instructions

  1. Access the Monthly Miles Screen:
    Navigate to the Monthly Miles screen in LoadMaster to view driver totals for the current month.
  2. Identify Discrepancies:
    Check for drivers whose mileage appears too low or is missing expected trips.
  3. Open the Driver’s Trip History:
    Go to the Driver Board, search for the specific driver, and review their list of assigned trips for the current month.
  4. Check Each Trip’s Status:
    • Ensure the trip is marked Completed.
    • Verify that the driver is still attached to the trip at the end of the month.
  5. Confirm Mileage Counted:
    Open the Trip Details screen. Check if:
    • Mileage was generated via PC*Miler or system route planner.
    • Trip includes both loaded and empty miles.
  6. Look for Reassignments:
    If the driver was removed or replaced on the trip before it was completed, those miles may not count for them.
  7. Use Driver Pay Report for Comparison:
    Run a Driver Pay report for the same period and compare the total miles reported there to what is shown in Monthly Miles.
  8. Audit Adjustments or Cancellations:
    Check if trips were manually canceled, edited, or removed after completion, which could explain missing mileage.
  9. Contact Support If Needed:
    If mileage still appears incorrect or is untraceable, gather the Trip Number(s) and email support.
Important: Trips not marked as “Completed,” reassigned to another driver before month-end, or removed from the dispatch board will not count toward a driver's Monthly Miles total.

If discrepancies persist or historical data needs correction, contact Transport Operational Support with the Trip Number and Driver ID.
